QuickBooks Configuration

This guide serves as a general reference for Configuring QuickBooks but does not cover agency-specific settings. Always reach out to Customer Care if you are setting up QuickBooks or making changes to your QuickBooks file or process.

 

There are two main settings that need to be configured for Rosemark and QuickBooks to sync. Rosemark needs to match the Chart of Accounts in QuickBooks for income and expenses, while QuickBooks Products and Services need to match Rosemark Service Types. Both of these settings are adjusted via the Configuration menu.

The Accounts section of Rosemark is very simple. To add a new account click Add, select the type of account, and then enter the Account name.

 Below you can see one example of a Chart of Accounts that can be reviewed in QuickBooks.

Service Types - Products and Services

Service Type configuration is covered in great detail elsewhere, this portion will focus only on the specific parts that are relevant to QuickBooks. Service Types have two factors in regard to QuickBooks that need to be setup. First, when a new service type is created you need to set which accounts those services are tied to. Most often this means setting the Pay account to the payroll expense account, and the Billing account to the appropriate income account. Once this is complete you will need to add the service type to your QuickBooks Products and Services. To do this you need to navigate to your QuickBooks Products and Services page and click New.

On the right hand side of the screen you should select the Service category and then enter the name of the new service type. You also want to make sure that the income account is set up and should match what you have in Rosemark under the Service Types and Rates.
