EVV Configuration
EVV Configuration is one of the foundational pillars of Rosemark. The various settings will be different for every agency based on specific needs and trends based on how their staff use the system. We strongly recommend connecting with the Customer Success team if you need to adjust these settings. To review your EVV Configuration in the main Rosemark window go to File - Configuration, and select EVV Events.
The most important aspect of your EVV configuration relates to how Rosemark links EVV events. If a caregiver clocks in and out on time and at the correct location Rosemark will automatically link the EVV event. What is considered on time and and within the correct distance threshold is controlled by the agency. In the image below you can see two red boxes highlighting where these settings are found.
The first portion is the "On Time Window". If a caregiver clocks in or our within this range Rosemark will automatically link the EVV event. If the event is outside of this time period, even by a few seconds, agency staff will need to manually review and link the EVV event. The second portion is the Distance Threshold. If a caregiver clocks in outside of the distance range agency staff will need to manually review and link the EVV event. If caregivers are clocking in and out on time, and in the right place, the process can be entirely automated and requires no further oversight by agency staff.
The second most important aspect of your EVV Configuration is what kind of notifications you want sent to your staff. Rosemark can send Email, Text, and Email to Text notifications. Each option has different pros and cons outlined below. Any enabled notifications are always sent to the Rosemark Caregiver App at no charge. If you have questions about EVV Notifications reach out to the Customer Success team.
Notification Type | Pros | Cons |
Free | Relies on Caregivers and Staff to check their email | |
Text | Reliability | Texting Fees will apply |
Email to Text | Free | Email to text is managed by telecom service networks (AT&T, Verizon, etc.) and during times of high traffic email to text is the lowest priority |
The final portion relates to agency settings around specific EVV features.
- Require Caregivers to call from the client's phone
- We generally recommend this as it ensures the caregiver is with the client
- Some states or LTC insurers require this
- Reimbursable Client Mileage
- This feature is useful if your caregivers drive the client to errands or appointments
- Misc. Expenses
- This feature is useful if your caregivers purchase items on behalf of your clients
- Completed Task Codes
- A telephony only setting that has caregivers enter task codes instead of prompting for tasks completed based on the clients
- Generally its faster to enter tasks codes but is more prone to human error
