User-Defined Fields

User-defined fields are custom fields that allow you to enter additional information into your contact’s profiles and customize your CRM in order to make it specific for your business needs. You can create as many user-defined fields as you want, and you can decide if you would like to share those new user fields with all your groups or keep them separated so specific groups have specific user-defined field. You can set whether or not you want your shared access users to be able to see and/or edit these custom user-defined fields. Custom user-defined data fields can be created to:

- Know/track additional information about your contacts.

- Import custom fields that are not in the system.

- Ask a contact to fill out information on a public-facing form (i.e. a signup form on your website or a public ticketing form).

To create or edit user-defined fields, go to Settings > Group > User-Defined Data tab and select “Create New Custom Field”.

Below are the different types of fields you can create:

- Select One - the field can only be set to one value. Specify the possible values in a comma-separated list in the large text box.

- Select Multiple - this allows the contact to have as many of the values assigned to him as you would like. Specify the possible values in a comma-separated list in the large text box.

- Trend Data - this is data tied to dates, useful for tracking information over time with the y-value of the chart being anything you like.

- Integer - this is an integer, forcing anything that isn't a number to be filtered out. Note that integers are whole numbers, meaning no decimals are allowed.

- Date - this is a date stored in our database in YYYYMMDD format.

- Open Text - this allows you to store any information about the contact as you would like.

- Short Text - this is another open text field, but it is displayed in a one-line data entry field

To delete a userfield from your account go to Settings > Group > User-Definded Data tab and uncheck the box next to the listed user-field. Select Action > Save Changes. Once deleted all information associated with the userfield in each contact's profile will also be deleted.when you are looking at the details page for a contact.

Use the action drawer at the top right of the page to click “Save Changes”.

User-defined fields can be embedded in email messages and websites/landing pages created in your account with dynamic placeholders and can be used to target messages to specific segments of your contacts. 

If you create a custom user-defined data field, you will need to make sure that data is saved for that custom user-defined data field for at least one contact. If data is not saved for the appropriate user-defined data field in at least one contact's record, the user-defined data field will be unavailable to select within the "Filter/Search" section of the "Contacts" tab.
